Position Objective

The Executive Assistant will provide high-level administrative and operational support to the Chief Legal Officer, President of Harvard Protection and other executives. This individual will play a key role in ensuring seamless daily operations, managing confidential matters, and representing the company with professionalism and discretion. In time, the position will look to expand into areas such as internal operations, legal assistant and other potential opportunities.

Essential Duties and Responsibilities

  • Draft, format, and edit internal and external presentation materials, reports, correspondence, and legal documents with a high level of accuracy and polish.
  • Communicate updates and alerts to internal and external clients, including coordinating internal meetings, drafting updates, and preparing client letters.
  • Coordinate with internal and external counsel to assist with document preparations and other case management tasks.
  • Manage company registrations and subscriptions
  • Maintain complex calendars, docket lists, and internal deadlines. Schedule meetings, resolve conflicts, and ensure executive preparedness
  • Manage important relationships with vendors such as insurance brokers and suppliers.
  • Conduct preliminary research on legal and business topics as requested, compiling and summarizing findings to support executive decision-making.
  • Assist in general office management functions
  • Prepare and reconcile expense reports, process invoices, and maintain billing documentation accurately and on time.
  • Manage travel arrangements, including transportation, accommodation, and itineraries, ensuring cost-efficiency and alignment with executive needs.
  • Assist with general office administration and cross-functional initiatives as needed, supporting department objectives and enhancing operational efficiency.
  • Act as the first point of contact for incoming communications. Screen calls and messages with professionalism and discretion, ensuring timely follow-up and response.
  • Handle sensitive legal and business information with the utmost confidentiality, using sound judgment in all matters.

  • Ability to use or learn to use contract management, expense, and other systems.
  • Strong organizational skills, attention to detail, and a proactive mindset.
  • Ability to work independently with minimal supervision while maintaining a team-oriented approach.
  • Proven ability to maintain strict confidentiality and exercise sound judgment.
  • Positive attitude, high degree of professionalism, and client-service orientation.

Compensation

$65,000 - $80,000 depending on experience and skill level
